A REAL WORKBOOK

From fixed PDF pages to an editable .xlsx file.

A bank statement PDF is designed to be read, not sorted or filtered. This converter identifies posted transactions and places the date, description, reference, debit, credit, signed amount and running balance in separate columns. Review the result against your source and correct any misread cells before export.

The Excel button creates a genuine .xlsx workbook in your browser. Its Transactions sheet has a frozen header, filters and numeric money columns. A second sheet preserves the extracted bank name, account ending, currency, period and opening and closing balances. Blank values stay blank when the source does not provide them.

  • Open in Microsoft Excel or another .xlsx-compatible app
  • Sort and filter transactions without altering the original PDF
  • Keep statement-level details beside the transaction rows

EXCEL WORKFLOW

Review first. Analyse second.

An editable workbook is most useful when its figures can still be traced back to the bank-issued document.

  1. 1. Upload the statementChoose a digital PDF or a clear PDF scan, PNG or JPG up to 10 MB. Password-protected PDFs need an unlocked copy.
  2. 2. Check the extracted tableInspect dates, wrapped descriptions, references, money in and money out. Correct the editable cells, especially on low-confidence rows.
  3. 3. Download and reconcileOpen the .xlsx workbook, compare the first and last rows with the PDF, and check that running and closing balances follow the source.
WHEN TO USE XLSX

A working sheet for inspection and analysis.

Choose Excel when you need to examine transactions visually, filter a date range or keep the extracted statement context with the rows.

Inspect without losing the source

The downloaded workbook is separate from your PDF. Sort or annotate the transaction sheet while leaving the bank-issued document unchanged. Keep both files together: the spreadsheet makes analysis easier, but the PDF remains the source for dates, balances, and any bank-specific notes or fees that were not extracted.

Understand the column types

Debit, Credit, Amount and Balance are stored as numbers so spreadsheet calculations can use them. Date and Reference are text; that avoids changing a bank date because of local spreadsheet settings or stripping leading zeroes from an identifier. See the export field guide for the full column definition.

Check layout-sensitive rows

Statement designs vary. A wrapped description, a reversal shown in a separate section or a page break can cause a row to need correction. Compare the first and last transaction on each page and the largest money movements before sharing the workbook. If you need a practice file, start with a fictional bank statement example.

What the workbook does not decide for you

It does not classify transactions, determine tax treatment or certify that every figure is correct. A posted item may be a refund, reversal or transfer even when its description resembles an expense. Use the statement's debit and credit columns and the balance movement to check its direction. If a running balance is absent, leave it blank and reconcile with the source rather than filling it from a guess.

For formal records, note any manual correction you made and why. If you plan to upload the file into another tool, inspect that tool's field mapping before using the workbook as input. Excel may display text dates according to your locale; the underlying cell retains the extracted date string so you can compare it directly with the statement. For a row-only exchange file without a second worksheet, use the CSV converter.

EXCEL QUESTIONS

Know what the workbook contains.

Conversion gives you a reviewed working copy, not a replacement for the bank statement.

Is the Excel download really an .xlsx file?+

Yes. The Excel button generates an Office Open XML workbook with Transactions and Statement details sheets. It is not the older XML Spreadsheet 2003 format renamed as .xls.

Are debit and credit values usable as numbers?+

Yes. Debit, credit, amount and balance cells are numeric when a value is present; missing values remain blank. Dates are preserved as text to avoid silently changing the date shown on the statement.

Can I convert a scanned bank statement to Excel?+

Yes, if the scan is readable. Upload a clear PDF scan, PNG or JPG. Cropped edges, blur or faint text can cause omissions. Use the bank statement OCR workspace to compare the original with flagged fields before downloading Excel.

What if I need a plain-text import instead?+

Use the same reviewed result to download CSV, or open the dedicated PDF bank statement to CSV converter for import guidance.
