Extract posted transactions from a PDF or clear scan, check the numbers, and export the exact three- or four-column bank transaction layout you choose. This is a dedicated import file, not our general seven-column CSV under a different name.

Date, Description, Credit, Debit
Each transaction puts a positive value in either Credit or Debit and leaves the other cell empty. The exporter checks for mixed directions and does not fill blank cells with zeroes.
A general statement export may include Reference and Balance, which are useful for reconciliation but do not belong in these QuickBooks import layouts. The dedicated exporter leaves those columns out. In three-column mode, it retains the transaction’s sign. In four-column mode, it separates that same movement into Credit or Debit and writes the opposite cell as empty, not as zero. Review the direction of a refund, transfer or credit-card payment before importing; selecting the wrong account type can change how the movement appears in QuickBooks.
The downloadable samples use fictional transactions. Compare them with your chosen layout before converting a real statement, and use the general CSV only when you need a flexible working file rather than a QuickBooks-specific import.
Dates from a statement can be ambiguous, and an extracted debit can disagree with a signed amount. This page checks every transaction before enabling its QuickBooks download. It never invents a date or silently rounds a money value to make a row pass.
The editable table accepts corrections. Enter dates as YYYY-MM-DD; the exporter converts them consistently to DD/MM/YYYY by default, or to MM/DD/YYYY if you select that option. Match the date format during QuickBooks import.
Upload a statement you are authorized to process. PDF pages count toward your page allowance; a photo counts as one page. Compare dates, descriptions and amounts with the original. For a difficult scan, use the OCR comparison workspace first.
Choose three or four columns and a consistent date format. Review the on-page preview, correct any blocking issue, then download the QuickBooks CSV. The general CSV and Excel exports remain available separately if you need a working copy.
In QuickBooks Online, open Bank transactions, choose the correct bank or credit-card account, and upload the CSV. Map each file column to the matching QuickBooks field, confirm the date interpretation, then inspect the transactions before completing import. Menu names can vary by region.
This tool prepares a bank transaction CSV; it does not post transactions to your accounting account automatically.
Some QuickBooks Online versions offer their own PDF or image upload. This page serves a different need: a reviewable, explicitly mapped CSV that you can inspect before manual import. If you already have a clean bank-native CSV, you may not need to convert the PDF.
The validator lists the row and reason: usually a non-ISO date, an empty description, a zero or over-precise amount, or conflicting debit and credit values. Correct the editable row using the statement as evidence. The download unlocks as soon as the issues clear.
No. It uses QuickBooks’ documented Date, Description, Credit, Debit order, writes a positive value into only one money column per row, and leaves the other blank. The three-column version instead uses a signed Amount.
