Xero’s CSV import screen asks you to assign file columns to bank-statement fields. The download from this page contains Date, Amount, Payee, Description, Reference, in that order. Date and signed Amount are validated; the full extracted bank text is preserved in Description, and a printed transaction reference is carried through when present.

We do not guess a payee from description text. The Payee cell stays empty so an uncertain merchant name is not presented as fact. If your own workflow needs Payee, edit the CSV after download and review it again before import. Read Xero’s mapping guidance ↗

Fix ambiguous rows before Xero sees them.

Statements often print dates without a year, mix regional day/month order, or place credits and debits in separate columns. The converter extracts the best visible row but does not assume an ambiguous date is correct. Edit its date to YYYY-MM-DD after checking the PDF. The Xero exporter then formats every valid date consistently as DD/MM/YYYY or MM/DD/YYYY, according to your selection.

A CSV download is blocked if a row has an impossible date, empty description, zero or over-precise amount, both debit and credit, or a money direction that disagrees with its signed amount. Low-confidence extraction cues remain advisory: inspect those against the source even if format checks pass.

Xero’s general manual-import guide ↗ lists CSV as a supported bank-statement format. If your bank offers an OFX export, Xero recommends using it where possible.

1. Prepare and verify

Upload a PDF, PNG or JPG statement for an account you are permitted to process. Review the extracted transaction table, especially dates, large values and page breaks. If the source is a faint scan, the bank statement OCR workspace offers original-and-result comparison.

2. Check the CSV preview

Set the date format, inspect the mapped columns, and resolve every blocking issue. Download the dedicated Xero CSV. Keep statements for different bank accounts in separate files; do not mix currencies or accounts in a single import.

3. Import in Xero

Open Accounting → Bank accounts, choose the intended account, then select Import a Statement. Upload the CSV, map Date, Amount, Payee, Description and Reference to the matching fields, confirm the date format when prompted, review selected lines and complete the import. What about direct PDF import?

This page prepares a CSV route for reviewing and mapping statement data. Xero availability can differ by organization and region.

Can I import a PDF statement directly into Xero?+

Xero’s general manual-import overview says PDF statements cannot be imported there. A separate Xero PDF-import guide now describes direct PDF import for eligible organizations in the United States and Canada, subject to file and plan requirements. This tool provides a reviewed CSV path regardless; check what your own Xero organization supports.

Why does the exported Payee field stay blank?+

A bank description does not always identify a legal payee. We preserve the original description and printed reference instead of inventing a contact name. You can fill Payee after download when you have verified the source or know the contact.

Which date format should I pick?+

Use one format for the whole CSV, then select the same format if Xero prompts you during import. The editable extraction table must contain unambiguous YYYY-MM-DD dates first. If a printed date is unclear, compare it with the statement period before correcting it.

What if Xero rejects the CSV?+

Check that Date maps to the date field and Amount to the transaction amount, that no blank lines were added, and that the selected account and currency are correct. Xero may reject zero-value lines or large batches. For a different import target, use our QuickBooks CSV tool.
